Product manager

Overview

The Product Manager, under Dashboard > Products > Products, lists every product in your store and lets you change many of them at once.


Search

The search box at the top finds a product when:

  • Its name contains what you type.
  • Its SKU or barcode begins with what you type.
  • Its Product Series Code begins with what you type.
  • A word in its text matches what you type exactly.

Results are ordered by how well they match.

Click a column heading to sort them another way.


Filters

  • Set one or more filters.
  • Click Apply.

Each filter you apply becomes a tag under the form.

Click a tag to remove that filter.

Click Reset to clear them all.

Filter Finds
CSV File Exactly the products in a CSV with a column headed Product ID. The file from the Download Products bulk action has that column. If any ID is not a whole number above zero, no filter is applied.
Classification is / Classification is not Products that have, or do not have, any of the values you select.
Created Date Between / And Products created in the range, including the whole of the end date.
Product Title Products whose name begins with what you type.
Product name contains Products with the text anywhere in the name. It also matches a SKU or Product Series Code that begins with the text.
SKU begins with Products with a variant SKU that starts with what you type.
Status is Published or Unpublished. A product scheduled to publish later counts as Unpublished.
Type is Products of the types you select. Shown only when your store has more than one product type.
Sale price Set to Yes, products with a sale price and both sale dates filled in. That includes sales that have ended or have not started yet.

These filters appear only on stores that use the feature:

Filter Appears when Finds
Already synced to / Not yet synced to You sync to a marketplace Products that are, or are not yet, on the marketplaces you select.
Supplier Name Supplier details are turned on Products whose supplier name begins with what you type.
POS Status Your store uses Shopcada POS Products published or unpublished in POS.
Available at / Out of stock at You hold stock in inventory locations Products in stock, or out of stock, at the locations you select.
Scheduled Publish On Your store schedules publishing Products scheduled to publish on that date.
Available For … At Your store gives members early access One filter per membership tier. Finds products that open to that tier at exactly the date and time you pick.


Saved Lists

  • Apply your filters.
  • Click Save Filter.
  • Name the list.
  • Click Save.

The list becomes a tab beside All above the filters.

Action What it does
Update Filter Saves your changes to the open list. Shown only after you change its filters.
Delete Filter Removes the saved list. The products are not affected.
Reset Filter Clears the filters you have applied.

Saved lists belong to your own login. Other staff cannot see them.

A list opened from a classification value’s Product Manager link shows only that value’s products and cannot be saved.


List Columns

Click Product, Stock, Status, Create On or Last Update to sort.

Clicking Classification sorts by creation date.

Column Shows
Product The first product image, the name and the product type. The name opens the product on your website.
Stock Total stock. On stores with inventory locations it links to the product’s Inventory page. Blank when the product does not track stock.
Classification Every classification value on the product.
Status Published, Unpublished, or Scheduled with its publish date. A POS tag shows green when the product is published in POS. Marketplace connections add their own tags.
Create On The date and time the product was created, and who created it.
Last Update The date the product last changed.
Actions The pencil opens the product for editing. The menu beside it holds View and the product’s other pages, such as Inventory, Who Bought This, Waiting List or Marketplace, depending on your store.


Bulk Actions

  • Tick the products.
  • Choose an action from the bulk action menu.

The checkbox in the header row ticks only the products on this page.
To act on everything your search and filters found, click Select all. It shows the number of products found.

Publishing

Action What it does
Publish the products Makes the products visible on your website.
Unpublish the products and remove them from the display sequence Hides the products and takes them out of the product display sequence.
Unpublish but keep the products in display sequence Hides the products and keeps their place in the display sequence.
Set Publish Schedule / Set Unpublish Schedule Sets the date and time the products go live, or come off your website, by themselves. On stores with member early access, the same screen sets a date per tier. Appears if your store schedules publishing.
Publish to POS / Unpublish from POS Makes the products available, or unavailable, at your outlets. Appears if your store uses Shopcada POS.

Organising and Pricing

Action What it does
Add classification to the products / Remove classification from the products Adds or removes the classification values you select on every selected product.
Add to Product Sequence Adds the products to the product display sequence. Cannot be undone.
Update Sale Price Sets one sale price, start date and end date on every variant of every selected product, replacing any sale price already there. All three are required.

Files

Action What it does
Download Products A file with Product ID, SKU and Barcode columns. Tick Include Pricing, Include Weight, Include Inventory or Include Rack to add those columns.
Download for label printing A label file with a quantity per variant, which starts at the variant’s stock. Up to 1,000 products or 4,000 variants at a time, and up to 1,000 labels per variant.
Export to CSV Exports the selected products to ShopcadaProducts.csv.
Delete Deletes the products permanently. Cannot be undone. Unpublish instead to take a product off sale and keep its record.
