How to Update Your Product Inventory

The Product Inventory page allows you to manage stock levels for each product variant across all inventory locations.
In addition to updating inventory quantities, you can also:

• View current inventory by location
• Monitor incoming stock transfers (In Transit)
• Review inventory movement history
• Transfer inventory between locations
• Export inventory movement reports


Accessing the Product Inventory

  • Navigate to Dashboard > Products > Products .
  • Open the desired product and select the Inventory tab.


Manage Inventory

The Manage Inventory tab displays the current stock quantity for every variant across all inventory locations.

From this page you can:

  • View inventory by location
  • Identify incoming In Transit quantities
  • View estimated stock coverage (Days Remaining)
  • Update inventory manually
  • Transfer inventory between locations

Understanding the Inventory Display

Each inventory location displays the current available stock.

Example:

Warehouse
93

Bugis Junction
51
+20   

  • 93 = Current available inventory
  • +20 = Incoming stock currently In Transit to this location
    The In Transit quantity has not yet been added into the available inventory.

Days Remaining

Some inventory locations display an estimated number of days.

Example:

14 (630 days)  

The number in brackets estimates how many days the current stock will last based on the average sales over the past 90 days.

Updating Inventory

Click Update Inventory to manually adjust stock quantities.

Typical use cases include:

  • Physical stock count adjustments
  • Correcting inventory discrepancies
  • Recording damaged or missing stock

Transferring Inventory

Click Transfer Inventory to move inventory between locations.

Transfer Orders allow inventory to remain In Transit until the destination location confirms receipt.

This provides an accurate view of inventory currently being moved between outlets.


In-Transit Details

The In-Transit Details tab provides a detailed breakdown of inventory currently being transferred between locations.

Unlike the summary shown on the Manage Inventory page, this report lists every outstanding Transfer Order individually.

You may filter by:

  • Product Variant
  • From Location
  • To Location

 

The report includes:

Column Description
Date Date the transfer was created.
Variant Name Product Variant.
Model Product SKU.
Transfer Order Linked Transfer Order number
From Location Source inventory location
To Location Destination inventory location
Quantity Quantity currently In Transit

 

Use this report when:

  • Investigating missing stock
  • Tracking pending transfers
  • Confirming incoming inventory
  • Auditing stock movement between outlets


Inventory Movements Report

The Inventory Movements Report provides a complete audit trail of inventory transactions.

Every inventory change performed within Shopcada is recorded here.

Available filters include:

  • Product Variant
  • Inventory Location
  • Sales Channel
    If a sales channel is selected, only Sale and Order Cancellation transactions will be displayed.

 

Inventory Movement Columns:

Column Description
Date Date and time of the inventory movement
User User or system performing the action
Variant Name Product Variant
Model Product SKU
Qty Quantity increased or decreased
Action Inventory action performed
Location Inventory location affected
Order ID Related order (if applicable)
Channel Source sales channel
Description Additional information about the transaction

 

Inventory Actions

The report may include actions such as:

  • Sale
  • Order Cancellation
  • Manual Inventory Update
  • Transfer Out
  • Transfer In
  • Receive Transfer Order
  • Stock Adjustment
  • Return
  • Exchange

Depending on your store configuration, additional inventory actions may also appear.

Downloading the Report

Click Download to export the Inventory Movements Report into Excel for further analysis or auditing.


Tips

Understanding In Transit Quantities

Inventory shown as +Quantity has not yet been received at the destination location and is therefore not included in the available stock balance.

 

Investigating Stock Discrepancies

If inventory appears incorrect:

  • Review the Inventory Movements Report to identify recent changes.
  • Check the In-Transit Details report for outstanding Transfer Orders.
  • Verify that all pending Transfer Orders have been received.

 

Best Practice

When managing inventory across multiple outlets:

  • Use Transfer Orders instead of manually updating inventory.
  • Review In-Transit Details regularly to identify outstanding transfers.
  • Use the Inventory Movements Report as your primary inventory audit log.
  • Perform periodic stock counts and reconcile any discrepancies using the Inventory Movements Report.
